Job Summary:
The Business Administrative Associate (BAA) provides high-level support to the Vice
President, the Executive Director, and the Division of Finance & Administration. The BAA oversees the operational and fiscal management of the Finance and Administration
Office and monitors the budgets of the Departments within the Division. The BAA is responsible for the compilation of financial reports to various internal offices and outside agencies.
Job Description:
● Oversees the operational management of the Office of the Vice President.
● Represents division at certain committees and at various meetings.
● Acts as liaison between Division and other Units within the University; coordinates responsibilities and troubleshoots business problems with other department and division offices and staff.
● Manages the calendar of the Executive Director (ED).
● Oversees the fiscal management of the Office of the Vice President.
● Responsible for fiscal and financial reports and analyses.
● Supervises the maintenance of financial records for all unit funds.
● Submits Division’s and department’s budget transfers.
● Monitors the budgets of the subsidiary departments.
● Trains, advises, and assists Financial Managers on budget issues related to their department(s).
● Prepares reports for bonding agencies, insurance companies (i.e. risk management), external auditors, and other outside agencies.
● Prepares reports for the Board of Trustees.
● Works independently, or with the Executive Director, on special projects, process improvement, comprehensive reports, detailed analyses, and other projects as assigned.
● Audits and validates documents that come to the Office before processing such paperwork for approval by the Vice President and/or the Executive Director.
● Assures that the documents are processed in a timely manner.
Minimal Qualifications:
1). Bachelor's degree in business administration, management, or a field related to the position.
2). Two (2) years of professional business, financial, and/or managerial work experience. (NOTE: A Master’s Degree in an area consistent with the duties of the position may be substituted for one (1) year (12 months) of work experience.)
3). Executive level C-suite support experience required.
4). Experience in finance office operations.
5). 2-5 years Cognos, SQL, and data mining experience.

Salary: $75,000
Benefits: Comprehensive benefits package including health, dental, and vision benefits, generous time off plans, and participation in the State Universities Retirement System.
Hours: Monday through Friday, 8:30 a.m. - 4:30 p.m. (Hours may vary depending on departmental needs)
This an 100% onsite role and is not eligible for remote work

This position reports to the Executive Director for Finance & Administration, who reports to the Vice President for Finance and Administration.
