Class Description

 

The purpose of this class is to schedule and coordinate activities related to classroom assignment, conferences, meetings and other campus special events.

 

Minimum Requirements

 

High School diploma/GED and three (3) years of full-time experience, in a customer-service environment, performing duties to include: data entry and the knowledge of scheduling. Knowledgeable of and experience with Microsoft Office, information systems preferably Banner, document imaging and scheduling applications. Or an Associate’s Degree with one (1) year of full-time experience in a customer-service environment performing duties to include: data entry and the knowledge of scheduling. May be required to work evenings and weekends during peak periods.

Class Specific Essential Duties

 

  1. Event/conference/meeting planning
  2. Maintain schedule of room usage
  3. Respond to the general public by telephone, mail and/or in person.
  4. Maintain records and files.
  5. Prepare reports and other documents, as assigned.
  6. Prepare and distribute facility rental agreement packages and invoices.
  7. Perform administrative duties.

Position Specific Essential Duties

 

  1. Process event requests on and off campus including scheduling rooms, leveraging Case (25Live) site software, preparing contracts, securing all signed documents and calculating the cost of the event and contacting key personnel regarding the event.
  2. Work as the liaison between CCBC and external agencies/groups who are interested in rental facilities on the Catonsville campus.
  3. Work with the Sr. Director, Enrollment Services/Registrar, Lead Scheduler and the College Community, to resolve room scheduling conflicts and programs with courses and internal/external events.
  4. Prepare events reports as an agenda item for all campus events meetings and emergency closures.
  5. Assist Lead Scheduler with scheduling process as needed which includes:  add/cancel classes, proof for accuracy (minutes, fees, class sizes, etc.) and the assigning of space needs for courses in Banner and 25LIVE.
  6. Back-up for CCBC scheduling of rooms for classes and events. (Case site)
  7. Back-up for communicating class cancellations and relocations of classes to faculty, staff, and students and posting room changes by classrooms.
