Sr. Administrative Coordinator

The Office of the President, a fast paced, exciting work environment, is seeking candidates for the position of Sr. Administrative Coordinator within the Office of the President. The Sr. Administrative Coordinator will be responsible for a wide range of administrative duties. A highly visible team member, the Sr. Administrative Coordinator will be the front face of the office and support senior members daily schedules. Successful completion of work assignments involves considerable judgment, tact, creativity, initiative, as well as an appreciation for tight deadlines, an unwavering commitment to organization, a positive attitude, and a high level of confidentiality.

 

Specific Responsibilities & Duties

 

Administrative Support for Senior Members of the Office of the President

  • Day to day administrative support for 1-3 Directors including,
    • Heavy calendaring
    • Preparation of materials
    • Coordinating travel
  • Provide backup administrative support for other members of the Office of the President.
  • Manage conflict-free calendar of numerous high-level meetings and appointments and disseminate corresponding meeting materials.
  • Perform other duties and assist with special projects as assigned.

 

Front Desk and Office Operations

  • Assist Office Manager in day-to-day operations of the Office of the President.
    • Greet and welcome visitors to the office.
    • Assist lobby staff with visitor logs and general information.
    • Arrange routine maintenance and service calls for office.
    • Maintain shared kitchen.
  • Answer incoming calls, screen and triage callers.
  • Refer questions and direct calls to the appropriate staff members and outside offices.
  • Schedule interviews for open positions and assist candidates during campus visits.
  • Schedule conference rooms for the suite.
  • Assist in setting up new employees to the office.
  • Must be able to work at a fast pace.
  • Must have a high level of judgment and critical thinking ability.
  • A positive attitude and willingness to collaborate with others.
  • Expertise in organizing meetings, managing inbound calls, conference call setup, and coordinating phone calls with remote participants.
  • Demonstrated ability with office desktop technology, including working with Microsoft Office suite of products, including Word (word processing, letter composition, report formatting), Excel (basic data management), PowerPoint (report creation and formatting), Outlook, and Adobe Acrobat.
  • Experience in accurate data entry.
  • Excellent verbal and written communication skills.


Minimum Qualifications
  • High School Diploma or graduation equivalent
  • Five years progressively responsible administrative experience
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula


Preferred Qualifications
  • Bachelor's Degree

Starting Salary Range: $21.25 - $32.64 HRLY (Commensurate with experience)

Total Rewards
The referenced base salary range represents the low and high end of Johns Hopkins University’s salary range for this position. Not all candidates will be eligible for the upper end of the salary range. Exact salary will ultimately depend on multiple factors, which may include the successful candidate's geographic location, skills, work experience, market conditions, education/training and other qualifications. Education and Experience Equivalency
Please refer to the job description above to see which forms of equivalency are permitted for this position. If permitted, equivalencies will follow these guidelines: JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing.
