Position Summary
The part-time Human Resources Assistant shall provide clerical support to the Human Resources department. The Human Resources Assistant will adhere to the policies as specified by the Alabama Community College System Board of Trustees, Federal and State regulations, and the Drake State Community & Technical College Faculty and Staff Handbook.
Salary: Appropriate placement on the Alabama Community College System Board of Trustees
Local Salary Schedule E3, Grade 04 (part-time, maximum of 19 hours per week)
Salary Range $19.11 - $27.52 (12 months, Non-Exempt)
Salary step placement is based on experience per Drake State's practice for awarding salary step credits.
Work Hours: 8:00 am - 5:30 pm Monday - Thursday and 8:00 am 12:00 pm Friday
Essential Duties and Responsibilities
ESSENTIAL JOB FUNCTIONS:
The part-time Human Resources Assistant shall perform the duties as specified in conformity with policies established by the Alabama Community College System Board of Trustees and the J. F. Drake State Community and Technical College Faculty and Staff handbook.
- Enter and maintain all employee data into Banner, E-Verify, and the Employer Self-Service System (RSA/TRS)
- Provide clerical support to the Human Resources department
- Receive and handle communications, including electronic communications, correspondence, and telephone calls from employees and the public
- Compose letters, memorandums, and other correspondence
- Schedule and arrange appointments, meetings, and travel plans as requested
- Maintain a comprehensive filing system of all employee records
- File and maintain documents of a confidential nature
- Serve on college committees as requested
- Assist in implementing strategies to ensure accuracy, quality, and effectiveness in data collection, evaluation, and dissemination
- Order and maintain supplies
- Coordinate advertisement processes for job vacancy announcements
- Adhere to Alabama Community College System (ACCS) policies and procedures
- Collaborate with the Payroll department to ensure synchronization of personnel and payroll information
- Verify and maintain I-9 forms and documentation
- Archive personnel records of former employees
- Attend seminars/workshops for professional growth and development
- Participate in professional organizations
- Prepare, maintain, and provide security and confidentiality of personnel files for employees according to SACSCOC and ACCS Board of Trustees criteria
- Monitor and maintain documentation for office budget
- Process internal hiring documents, prepare Letters of Appointment, and conduct orientation for new part-time employees
- Assist with the hiring and onboarding processes for all new employees as needed in the NEOED system
- Monitor and update Human Resources forms as needed
- Support and maintain Human Resources programs and events
- Provide support to the Executive Director of Fiscal Affairs and Administrative Services as needed
- Maintain calendars for assigned departmental administrative personnel
- Research and collect data to support the functions of the Business Office as requested
- Retain and submit documentation as requested to support accreditation efforts
- Perform other work-related responsibilities as assigned

Qualifications
- High School Diploma and (1) one year of documented experience in Human Resources, or an Associate’s degree in a business-related field from a regionally accredited institution
- Proficient in Microsoft Office
- Excellent oral, auditory, and written communication skills
- Excellent organizational skills
- Ability to multi-task and handle stressful situations
- Attentive to details
- Ability to proofread work for accuracy
- Ability to establish and maintain effective working relationships with students, other employees, and the public
- Ability to maintain confidentiality of office information
