Your Role as Program Manager
As a Program Manager, you will be at the heart of NEF's efforts to foster energy literacy in schools and communities. Your role will directly contribute to making a difference in students' and teachers' lives by ensuring that NEF's energy education programs are effectively delivered, from initial enrollment through to post-program evaluation. You will support the program director and lead a team of program schedulers, coordinating multiple moving parts to ensure each program runs smoothly and meets the needs of participating schools. This is a full-time, remote position, offering an opportunity to combine strategic planning with hands-on involvement in program operations.
Key Responsibilities
Program Registration and Website Coordination:
- Lead promotional efforts to secure school enrollments and verify each school against a list of qualified institutions.
- Review or generate account numbers for partner-sponsored programs like DTE and Consumers Energy each season, ensuring every school's status is accurately marked before assigning to schedulers.
- Send registration confirmations to schools, requesting additional information as needed, and track program updates daily.
- Test email campaigns by reviewing wording and checking all links, notifying the website manager or program director of any necessary updates.
Material Creation and Distribution:
- Oversee the development and updating of pre-presentation and workshop materials, collaborating with directors on production sheets for new and revised materials.
- Coordinate with schedulers to assign teams to schools, validate teacher orders, and maintain timely shipping of kits.
- Notify appropriate personnel of any changes in shipping or distribution related to teacher materials.
Program Oversight and Reporting:
- Support the program director by overseeing program schedulers and helping prepare school lists and schedules.
- Track teacher and parent feedback, conduct outreach activities according to contracts, and join weekly calls to provide status updates.
- Maintain and reconcile records, ensuring accuracy between shipped kits and daily logs.
- Handle issues raised in daily presenter logs and address complaints through a Problem Resolution Tracking Report, working with relevant staff to resolve these efficiently.
Program Familiarity and Training Support:
- Acquire an in-depth understanding of program elements, including sponsor relationships, scheduling timelines, the registration database, and educational materials.
- Participate actively in training sessions, assisting with breakout groups and training activities.
Education
A college degree is preferred, but relevant experience may also be considered.
Skills & Qualifications
- Proficient in computer applications, including Google Maps, Excel, and email.
- Excellent written and verbal communication skills.
- Detail-oriented with a proven ability to manage timelines and multitask.
- Strong problem-solving and decision-making abilities.
- Flexible and available for training sessions.
This role requires someone who can stay organized while managing multiple priorities, adapt to shifting needs, and ensure that NEF's programs run seamlessly for schools, sponsors, and families.
